Receptionist & Customer Service Specialist 

Job Summary

  • Serve as the first point of contact for visitors and callers, greeting guests professionally, identifying the nature of incoming calls, and directing them to the appropriate staff using a multi-line phone system

  • Maintain a clean and organized reception area; manage office supply and general purchasing tasks, including monitoring inventory levels and placing orders as needed

  • Prepare conference rooms for meetings, ensuring required materials and refreshments are in place

  • Contribute to internal organization by maintaining phone directories, customer contact lists, e-filing, training materials, and standard operating procedures (SOPs)

  • Build strong communication skills by responding to customer inquiries via phone and email, while accurately processing order documentation using SAP Business One, Asana, and Shopify

  • Gain experience in inventory coordination by checking stock levels, retrieving module/programming details, while ensuring timely updates to customers

  • Collaborate with the Technical Customer Service and Production Teams to resolve product-related inquiries and ensure accurate and informed communication with customers

  • Support logistics by coordinating customer returns with the Shipping Department

  • Handle end-to-end order processing for Shopify and select customer accounts. This includes forecast updates, internal team collaboration, scheduling, and follow-ups, while delivering proactive, solution-focused customer support.

Compensation

Annual compensation will range from $40,000 to $55,000 depending on applicant education, experience, credentials and performance.

Applicant Qualifications

  • Legally entitled to live and work in Canada

  • Strong written and verbal communication skills, with proficiency in handling multi-line phone systems

  • Prior experience in an administrative support or front office position – equivalent training or certification will also be considered

  • Comfortable using basic office software (e.g., Microsoft Office, Google Workspace)

  • Positive attitude and willingness to take initiative

  • Genuine interest in contributing to a positive customer experience

Desirable (But Not Required) Attributes Include

  • Experience in customer service, such as in B2B settings or online retail environments

  • Formal training or certification in Administrative Support, Business Fundamentals or Office Procedures
